Hunnefeier — Booth terms and conditions

These terms govern the rental of a booth at the Hunnefeier festival organised by Syndicat d'Initiative de Schengen. By submitting a booth application you confirm that you have read and accept them.
1. Application & acceptance
Submitting an application does not guarantee a booth. SI Schengen reviews each application and reserves the right to accept or refuse based on available space, product mix, and previous-year compliance. Incomplete applications — in particular applications missing the required documents — cannot be considered until they are completed. You receive a written confirmation by email once your application is accepted; the invoice follows separately.
2. Pricing & payment
Booth fees depend on the stand category: some categories (for example food & drink stands) are charged a flat fee, others are charged per linear metre of stand front. The applicable fees are displayed in the application form and on the pricing table at the time of application, and confirmed in the invoice. Some booth types carry a minimum billable length (for example stands with a car or a trailer), shown next to the price. Payment must be received by the deadline indicated on the invoice. Booths whose invoices remain unpaid past the deadline may be reassigned without further notice.
3. Cancellation & non-refund
Booth fees are non-refundable. Once your application has been accepted and the invoice issued, the fee remains due and is not refunded if you cancel, arrive late, leave early or do not attend, whatever the reason. Cancellations must still be sent in writing to info@si-schengen.lu as early as possible so the space can be offered to another vendor. An unpaid invoice does not count as a cancellation.
4. Booth assignment & placement
Booth locations cannot be reserved in advance. The organizing team assigns all booth numbers after payment has been received, approximately 1–2 weeks before the festival, taking into account available space, safety requirements and a balanced product mix. Placement wishes stated in the application and previous-year placements are considered where possible but cannot be guaranteed. The booth number and location are communicated by email and shown on the public festival map.
5. Setup, opening hours and tear-down
Setup times, opening hours and tear-down deadlines are communicated by email after acceptance. Booths must be staffed throughout the published opening hours. Early tear-down before the official closing time is not permitted without prior written approval.
6. Insurance, documents & liability
Vendors must hold valid third-party liability insurance covering the festival dates and provide a proof of cover with their application, unless the application form indicates that it is not required for their vendor type or stand category. The application must further include photos of the stand, a list of the products offered, and — where required (for example food & drink stands) — a business/establishment authorization. Documents can be completed later via the vendor portal, but the application is only processed once the required set is complete. SI Schengen is not liable for theft, loss or damage to vendor goods or equipment. Each vendor is responsible for the safety of their booth installation.
7. Electricity, water and utilities
Where utilities are requested, vendors must declare power requirements accurately. SI Schengen is not responsible for damage caused by under-declared loads. Vendors must use compliant cables and connectors and follow the on-site electrician's instructions.
8. Food, hygiene & products sold
Food vendors must comply with Luxembourg food-safety regulations and hold all required permits. Allergens must be clearly displayed. Sale of counterfeit goods, weapons, alcohol without licence, or any product violating Luxembourg law is prohibited.
9. Use of personal data
The data you provide is used to process your application, issue invoices, communicate about the event, and meet legal obligations. It is stored securely in Luxembourg/EU and is not shared with third parties for marketing. You may request access, correction or deletion at any time.
10. Images and brand use
SI Schengen may take photographs and video at the festival for communication purposes, which may include your booth in non-prominent context. The SI Schengen name and logo remain the property of SI Schengen.
11. Force majeure
In case of force majeure (severe weather, public-health measures, public-order or official decisions, or any other event beyond our control), SI Schengen may modify, shorten, postpone or cancel the festival. Vendors are informed as soon as possible. In these circumstances booth fees are likewise not refunded, and SI Schengen cannot be held liable for costs incurred by vendors (travel, stock, staff, equipment).
